6. Our Lawful Bases for Processing
We process personal information only where we have an appropriate lawful basis under applicable data protection law.
Depending on the circumstances, this may include:
- Contract - where processing is necessary to take steps at your request before entering into an employment contract or to enter into or perform a contract;
- Legal obligation - where processing is necessary for Pyrex to comply with applicable legal or regulatory requirements;
- Legitimate interests - where processing is necessary for legitimate recruitment, workforce planning, administration, security or business purposes and those interests are not overridden by your rights and interests; and

Where we process special category personal data or criminal offence data, we will also identify and rely upon an additional condition required by applicable data protection legislation.
7. Pre-Employment Vetting and Aviation Security Requirements
Some roles within Pyrex operate in airport, airside, security-sensitive or regulated aviation environments. As a result, recruitment for certain roles may be subject to additional eligibility, verification, vetting, background or security requirements.
Depending on the role and applicable requirements, these processes may include verification of identity, right to work, employment or education history, references, relevant qualifications, employment gaps, and other information necessary to establish suitability or eligibility for the position.
Where criminal-record or other criminal offence information is required, Pyrex will only process such information where it is appropriate for the role and where there is a lawful basis and applicable legal condition permitting the processing.
We will seek to ensure that vetting is relevant and proportionate to the role. Where additional checks are required, candidates may be given further information about the information required, the purpose of the checks, the process involved, relevant third parties and how the resulting information will be handled.
The precise checks required may differ between roles, airports, airline operations and applicable regulatory or contractual requirements.
8. Special Category and Criminal Offence Information
Recruitment may in some circumstances involve information that receives additional protection under data protection law.
Special category information may include, for example, health or disability information and certain equality and diversity information. We will process such information only where necessary and where an appropriate legal condition applies.
Criminal offence information includes information relating to criminal convictions and offences and may also include certain allegations, proceedings or the outcome of criminal-record checks. Such information will only be collected and used where necessary, proportionate and legally permitted.
Where required by law, Pyrex will maintain appropriate safeguards, policies and records in relation to the processing of this information.
9. Who We May Share Applicant Information With
Access to applicant information will be limited to people and organisations who reasonably need it for the relevant recruitment, vetting, employment or compliance purpose.
This may include:
- Pyrex HR, recruitment, management, compliance and operational personnel;
- managers involved in the relevant vacancy or operation;
- recruitment agencies and recruitment service providers;
- background screening, vetting or verification providers;
- professional advisers and IT or administrative service providers;
- airports, airlines or other aviation partners where information is legitimately required for eligibility, access, vetting or operational purposes;
- government, regulatory, law-enforcement or authorised bodies where required or permitted by law; and
- other parties where disclosure is necessary to establish, exercise or defend legal rights.
We do not sell applicant personal information.
10. If You Do Not Provide Requested Information
You are not required to provide information simply because we request it. However, some information may be necessary for us to assess your application, comply with legal requirements, verify eligibility or complete mandatory pre-employment checks.
If information necessary for a particular role or recruitment process is not provided, we may be unable to progress your application or confirm your eligibility for the role.
11. How Long We Keep Applicant Information
We retain applicant information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, regulatory, contractual, security or record-keeping requirements.
Retention periods may differ depending on whether an application is successful, the type of information involved, the role concerned and whether information is required for an ongoing recruitment, vetting or legal purpose.
Where an applicant is successful, relevant recruitment information may become part of the individual's employment record and will then be handled in accordance with Pyrex's employee data protection and retention arrangements.
Where an applicant is unsuccessful, we may retain appropriate recruitment records for a reasonable period where necessary for recruitment administration, consideration for future opportunities, responding to queries or claims, or meeting legal requirements.
Information obtained specifically for vetting or security checks will not be retained for longer than is reasonably necessary for the relevant purpose. Pyrex will establish and apply appropriate retention periods to its recruitment and vetting records.
12. International Transfers
Some service providers used in recruitment, communications, IT or administration may process personal information outside the United Kingdom.
Where personal information is transferred internationally, Pyrex will take appropriate steps to ensure that the transfer complies with applicable UK data protection law and that appropriate safeguards are used where required.
13. How We Protect Applicant Information
We use appropriate technical and organisational measures designed to protect applicant information against unauthorised access, loss, misuse, alteration or disclosure.
Access to recruitment and vetting information is restricted according to business need and the sensitivity of the information concerned.
Where third parties process applicant information on our behalf, we take appropriate steps to ensure that suitable confidentiality, security and data protection arrangements are in place.
14. Automated Decision-Making
Pyrex does not intend to make recruitment decisions based solely on automated processing that produces legal or similarly significant effects unless you are specifically informed that such a process applies.
If this changes for a particular recruitment process, we will provide the information required by applicable data protection law.

16. Complaints
If you have concerns about how Pyrex handles your personal information, we encourage you to contact us first so that we can investigate and respond.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK regulator responsible for data protection.
